Job Description

GENERAL DESCRIPTION

 

Under the direct supervision of the Executive Director of Education, coordinates the implementation of the Education Program in areas of scholarship, student counseling, transition programs as well as other Education related branches such as the Tewa Language program and WIOA Program. Assists with project proposals, grant writing, and grant reporting. Always maintain confidentiality. Ensures that services are provided effectively and efficiently for Ohkay Owingeh in accordance with Federal Education standards. Maintains confidentiality of all privileged information.

NATURE OF WORK

 

ESSENTIAL FUNCTIONS

 

  • Performs daily office tasks such as screening calls, scheduling meetings with local schools and/or Tribal Programs, file organizing, office upkeep, and other daily tasks identified by the Executive Director.
  • Prepare Purchase Orders and Request for Payment documents in accordance with Grant Funding allowances.
  • Monitor and account for all open Purchase Orders and ensure there is funding available in Budget Line Items.
  • Assists students in applying for Tribal Scholarship(s) and other Financial Aid.
  • Reviews financial aid and scholarship applications for completeness and eligibility requirements of the program.
  • Maintains reliable and efficient filing for all Education Programs and Student Files.
  • Willing to work late nights for supervision of After-School Programing.
  • Coordinates payments for student scholarships among various institutions.
  • Maintains positive relations with Community members and Schools by providing program information and assisting in planning and coordinating special activities and education events.
  • Monitors recipient student records and all documentation; creates and maintains case files on all students; generates reports as required.
  • Assists all education programs with securing additional funding and grant monies for continuation and expansion of program services with grant and proposal writing.
  • Must be familiar with community resources that assist youth and families in the communities we service.
  • Acts as an advocate for students in the Public-School system.
  • Maintains professional and technical knowledge by; conducting research; attending seminars; educational workshops; classes and conferences; reviewing professional publications; establishing networks; participating in professional societies; and conferring with representatives of contracting agencies and related organizations.
  • Attends meetings and functions as required.
  • Attends all required State Government-to-Government Meetings between Tribe(s), Trial Education Departments, and the New Mexico Public Education Department (NMPED)
  • Attends monthly meetings with Indian Education Departments for Local Education Agencies (LEAs).
  • Contributes to a team effort and accomplishes related results as required.
  • Performs other duties as assigned.

 

KNOWLEDGE, ABILITIES, SKILLS and CERTIFICATIONS

  • Knowledge of traditional form of government and pueblo customs and traditions.
  • Knowledge of the functions and structure of Ohkay Owingeh.
  • Knowledge of Chain of Command under a Tribal School Board.
  • Knowledge of applicable federal, state, county, and local laws, regulations, and requirements.
  • Knowledge of records management procedures.
  • Knowledge of business English, proper spelling, grammar, punctuation, and basic arithmetic.
  • Knowledge in financial aid programs such as scholarships grants and loans.
  • Knowledge of Tribal, Federal, and State educational rules and regulations that concern financial aid and scholarship eligibility requirements.
  • Knowledge of administrative and project management.
  • Knowledge of the development, preparation, and control of budgets.
  • Knowledge of managerial and statistical analysis techniques and reporting procedures.
  • Ability to communicate effectively in the English both verbally and in writing.
  • Ability to conduct instructions furnished in verbal or written format.
  • Ability to handle multiple tasks and meet deadlines.
  • Ability to establish and maintain professional relationships with individuals of varying social and cultural backgrounds and with co-workers at all levels.

MINIMUM QUALIFICATIONS, EDUCATION & EXPERIENCE

 

  • Current valid New Mexico’s Driver’s License with no DWI’s.
  • Must successfully be able to successfully pass a pre-employment drug/alcohol screen and background investigation.
  • Associates Degree in Business Administration, Education, or related field
  • Three (3) years of experience working in the field of education
  • Experience with education services and student rights;
  • Grant writing experience;
  • Advanced computer skills including database management required
  • Or equivalent combination of education and experience.

 

 

 

PHYSICAL DEMANDS:

 

While performing the duties of this job, the employee regularly is required to sit; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear.  The employee frequently is required to stand; and walk.  The employee occasionally is required to climb or balance; stoop, kneel, crouch, or crawl; and taste or smell.  The employee must occasionally lift and/or move up to 25 pounds.

 

 

WORK ENVIROMENT:

 

Work is generally performed in an office setting with a moderate noise level.  Evening, weekend, and/or holiday work will be required.  Travel is required for training, meetings, conferences, presentations, and other events.
